THE BUSINESS CHALLENGE. THE CHANGE. THE RESULT.

The challenge

Frequently changing manufacturer rebate programs forced a distribution team to extract information from documents and maintain spreadsheets manually. Changing the core ERP was slow and made future upgrades harder.

The change

The distributor combined RPA document capture with an OutSystems application holding validation and business logic. The application connected to SAP, presented program information in a mobile-friendly interface and reached first adoption in three weeks.

The outcome

At the time of the source report, the application covered the top four manufacturers and had reduced rebate-team data-input time by one third. Broader migration and additional savings remained anticipated rather than completed results.

DIGITAL ALCHIMIA’S DELIVERY PERSPECTIVE

What could this approach unlock for your business?

The useful next step is to connect the story to your own operating reality. Here are the questions we would bring into that conversation.

01

Separate document capture from the decision rules.

Extracting a value does not establish whether it is valid for the current rebate program. Define versioning, validation and exception ownership before automating entry. OutSystems professionals can connect the captured information to a reviewable workflow while the commercial team owns program interpretation.

02

Measure the scope already using the application.

A useful pilot should identify which manufacturers, document types and transactions it actually covers. Compare administrative effort within that scope before forecasting the next wave. This makes the case for additional delivery capacity more concrete without treating expected future savings as results already achieved.
