How a research center delivered laboratory reservations in fifteen weeks

Shared research equipment needs more than a booking calendar. Explore how this center connected availability, user needs and departmental billing in one laboratory workflow.

THE BUSINESS CHALLENGE. THE CHANGE. THE RESULT.

The challenge

Disconnected software and paper logs made shared laboratory equipment difficult to reserve and manage. Researchers needed availability information while administrators needed inventory, status and billing to stay connected.

The change

The center built an OutSystems laboratory management application in fifteen weeks. A pilot with eight hundred active users helped refine the experience before broader use, connecting reservations and equipment records to departmental billing.

The outcome

The source reports 150,000 equipment reservations handled per year and a system supporting 2,500 users. The pilot’s eight hundred active users are a separate rollout measure; reservation volume does not establish equipment utilization or research-output gains.

DIGITAL ALCHIMIA’S DELIVERY PERSPECTIVE

What could this approach unlock for your business?

The useful next step is to connect the story to your own operating reality. Here are the questions we would bring into that conversation.

01

Connect the reservation to the responsibilities behind access.

Availability alone does not establish whether a user is ready to use an instrument or which department should be billed. Define those relationships with laboratory owners before replacing booking screens. OutSystems professionals can reinforce the workflow while researchers and administrators retain authority over access and operating requirements.

02

Use a pilot to validate the full booking journey.

Test changes, cancellations, equipment status and billing handoffs with a representative user group before expanding access. Keep pilot adoption distinct from later scale measures. That creates a practical backlog for the delivery team and a clearer basis for adding specialist capacity.
